Property intake privacy notice

What we collect

We collect your email address, property postcode, UK nation, occupancy position, authority confirmation, and notice acknowledgement. You may optionally tell us how you found the service and what you were looking for. We also record submission time and a random reference. Do not submit tenant or buyer information.

Why we use it

We use these details to assess property fit, contact you about listing steps, manage regional launch queues, prevent abuse, and keep service records. We do not use submissions for unrelated marketing or automated decisions.

Our lawful bases are steps requested before a possible service contract and our legitimate interests in operating and securing the service.

AI referral and crawler signals

When a supported AI referrer or AI-related user-agent requests a content page, we write a limited hosting-log event with source category, signal type, and requested path. Our code does not add IP address, query text, full referrer, or full user-agent to this event. Hosting providers may still process standard request data to serve and secure the site.

Anonymous audience measurement

When configured, we use PostHog Cloud EU to count page visits and named actions such as selecting a property-listing link, submitting the property form, or copying an offer term sheet. PostHog is configured without analytics cookies or browser storage, person profiles, automatic interaction capture, or session recordings.

We do not send property postcodes, email addresses, form text, financial inputs, or URL query strings to PostHog. Property form contents remain governed by the collection and retention terms above.

Storage, sharing, and retention

Access is limited to Wolven Tech and service providers needed to host or operate Move to Own UK. We do not sell property intake data. Any overseas processing must use safeguards required by UK data protection law.

We delete an inactive submission within 12 months. If you proceed, we keep necessary records for the service relationship and legal obligations, then delete or anonymise them.

Your choices and rights

You may ask for access, correction, deletion, restriction, portability, or object to eligible uses. Rights depend on context and lawful basis. You may stop property contact at any time.

You have a right to object to processing based on legitimate interests.
